We are seeking an enthusiastic, relationship-focused Volunteer Outreach & Engagement Administrator to lead volunteer recruitment, engagement, retention, and community outreach efforts. This individual will play a key role in connecting community members with meaningful service opportunities while strengthening partnerships that expand Vivalon’s impact throughout Marin County and beyond.

About the Role

The Volunteer Outreach & Engagement Administrator serves as the primary coordinator for Vivalon’s volunteer program, managing the full volunteer lifecycle from recruitment and onboarding to recognition and retention. This position works collaboratively across departments, building strong relationships with volunteers, community organizations, educational institutions, and corporate partners to create impactful volunteer opportunities that support Vivalon’s mission.

Key Responsibilities

Volunteer Recruitment & Community Outreach

• Develop and implement year-round volunteer recruitment strategies.
• Build and maintain relationships with community organizations, schools, businesses, civic groups, and service organizations.
• Represent Vivalon at community events, presentations, and outreach activities.
• Manage volunteer recruitment through platforms such as VolunteerMatch, VolunteerHub, LifeScience Cares, HandsOn Bay Area, and other community networks.
• Match volunteer interests and skills with meaningful opportunities across the organization.

Volunteer Engagement & Retention

• Coordinate volunteer onboarding, orientation, training, and background check processes.
• Foster an inclusive and welcoming volunteer culture that encourages engagement and long-term commitment.
• Lead volunteer appreciation and recognition programs.
• Conduct volunteer surveys and use feedback to improve volunteer experiences and program outcomes.
• Support volunteer communications, program updates, and organizational engagement efforts.

Program Support & Collaboration

• Partner with internal teams to identify volunteer needs and develop new volunteer opportunities.
• Collaborate with Development to strengthen connections between volunteerism and philanthropy.
• Support strategic initiatives related to community outreach, volunteer engagement, and organizational growth.
• Help create meaningful connections between volunteers and older adults that reduce isolation and strengthen community involvement.

Data Management & Reporting

• Maintain volunteer records, databases, and documentation, including Salesforce data.
• Track volunteer recruitment, engagement, retention, and outreach metrics.
• Prepare reports and program insights for leadership and stakeholders.
• Coordinate volunteer assignments and scheduling to support organizational needs.

Requirements:

• 2-3 years of experience working with volunteers, volunteer programs, community outreach, or a related field.
• Experience with public speaking, presentations, networking, and community engagement.
• Strong written, verbal, and interpersonal communication skills.
• Excellent organizational and project management abilities.
• Ability to build positive relationships with volunteers, staff, donors, and community partners.
• Proficiency with Microsoft Office Suite; experience with CRM systems and Salesforce preferred.
• Bachelor’s degree preferred.

Compensation and Benefits:

• $30-$36 an hour (depending on experience)
